How to Automate Trello and Gmail News Curation?

Stay on top of industry news without manual checks. The setup collects fresh articles from selected RSS feeds, turns them into a clean summary, posts the update to a Trello card, and emails a reviewer. It fits marketing teams, content managers, and team leads who share weekly updates.

A weekly schedule runs on a set day and hour. Three RSS sources are read, then all items are combined, mapped, filtered to the last seven days, sorted by newest, and trimmed to a set count. The list becomes a simple Markdown summary with titles and links. That summary is posted as a Trello card comment, and Gmail sends a quick note so someone can review the post.

Connect Trello and Gmail in n8n, add your RSS links, and choose how often it should run. Expect a consistent update that replaces copy paste work. Useful for weekly roundups, product watch lists, and research briefs. Teams save time, share one clear thread in Trello, and keep a steady cadence for news sharing.

What are the key features?

  • Weekly schedule runs on a specific day and hour
  • Reads multiple RSS feeds and combines results
  • Maps useful fields like title, link, and date for clean output
  • Filters items to the last seven days to keep content fresh
  • Sorts by newest date and limits the number of items
  • Builds a Markdown summary list with titles and links
  • Posts the summary as a comment on a chosen Trello card
  • Sends a Gmail email to alert a reviewer after posting

  • Reduce manual news checks from two hours to ten minutes each week
  • Automate at least 90 percent of link gathering and formatting
  • Keep a steady Monday morning update without missed days
  • Unify three sources into one clear Trello thread for the team
  • Cut noise by showing only items from the last seven days and a set top count

How do you set it up?

  1. Import the template into n8n: Create a new workflow in n8n > Click the three dots menu > Select 'Import from File' > Choose the downloaded JSON file.
  2. You'll need accounts with Trello and Gmail. See the Tools Required section above for links to create accounts with these services.
  3. In the n8n canvas, double click the Publish comment node. In the Credential to connect with dropdown, click Create new credential and follow the on screen steps to connect your Trello account using OAuth.
  4. Double click the Send revision email node. In the Credential to connect with dropdown, click Create new credential and follow the on screen steps to connect your Gmail account using OAuth.
  5. Open each RSS Read node and replace the URL with your feed if needed. Add more feeds by duplicating an RSS Read node and wiring it to the Schedule Trigger and the Merge node.
  6. Select the Merge node and set Number of inputs to match the count of RSS nodes you connected.
  7. Open the Filter by date node and adjust the days window if you want more or fewer days than seven.
  8. Open the Limit news to x node and set the maximum number of items you want in the summary.
  9. Open the Transform new to MD node to customize the Markdown format. Keep titles and links for clear reading.
  10. Open the Publish comment node and choose the target Trello card. You can paste a card ID or use the node options to find the card by board and list.
  11. Open the Schedule Trigger node and set the day and hour for your weekly run.
  12. Click Execute Workflow to test. Confirm that a comment appears on the chosen Trello card and that a Gmail alert is sent to the reviewer.
  13. If no items appear, check that your feeds return recent posts and reduce the date filter. If Trello fails, confirm the card exists and your account has access. If Gmail does not send, reauthorize the credential and check the email address.
