How to Automate WhatsApp and Asana Support Tickets?

The flow starts with an n8n form that asks for name, phone, and problem. From one submit, two paths run at the same time. WhatsApp Business Cloud sends a text that uses the name from the form and the phone number with a plus sign. Asana creates a task titled Support Ticket with the submit time and stores the problem in the notes. This keeps reply speed high while logging every request in one place.

Add your WhatsApp Business Cloud credentials and phone number ID, and set your Asana workspace ID. Make sure the phone field in the form stays numeric so the message can send without errors. How do you set it up?

  1. Import the template into n8n: Create a new workflow in n8n > Click the three dots menu > Select 'Import from File' > Choose the downloaded JSON file.
  2. You'll need accounts with WhatsApp Business Cloud and Asana. See the Tools Required section above for links to create accounts with these services.
  3. Open the n8n Form Trigger node and review the fields for name, phone number, and problem. Keep the phone field as a number type so only digits are captured.
  4. Double click the WhatsApp Business Cloud node. On the Credential to connect with dropdown, click Create new credential and follow the on screen steps. Enter your WhatsApp Business Cloud phone number ID and save.
  5. Open the WhatsApp message settings and edit the text body to match your tone. Keep the name variable in place so the message stays personal.
  6. Check the recipient phone mapping. The expression adds a plus sign before the digits. Make sure your form collects digits only without spaces or country codes typed as text.
  7. Double click the Asana node. On the Credential to connect with dropdown, click Create new credential and follow the on screen steps. Enter your Asana workspace ID in the Workspace field and save.
  8. Confirm the Asana task name uses Support Ticket and includes the submit time. Check that the problem field is mapped to the task notes.
  9. Click Execute node on the n8n Form Trigger to open the public form link. Submit a test entry with your own WhatsApp enabled phone number.
  10. Verify the WhatsApp message arrives within a minute. If it fails, recheck credentials and confirm the phone format includes only digits and that the plus sign is added by the node.
  11. In Asana, open your workspace and confirm a new task appears with the test time and the problem details in notes.
  12. If you changed any form labels, update the matching field names inside the WhatsApp and Asana nodes so the data maps correctly.
  13. Activate the workflow and share the form link with customers or embed it on your site.
