How to Automate Gmail Calendly Lead Routing?

Turn scattered inbound messages into one clear flow. Emails, bookings, file updates, and product sales are captured, cleaned, enriched with AI, and sent to the right place. Great for marketing teams that need fast lead handoff and follow up.

Multiple triggers watch Gmail, Google Sheets, Calendly, Google Drive, Gumroad, forms, schedules, webhooks, and chat events. Data runs through filters, duplicate removal, sorting, and merges to keep records clean. AI steps summarize content, extract key fields, rate sentiment, and classify topics. Results append to Google Sheets, send emails or Pushbullet alerts, update calendars, and can also create YouTube playlists or download files from Dropbox. Vector memory and chat memory options allow smarter context over time using Redis, PostgreSQL, Pinecone, or Supabase.

Setup uses your Google and seller accounts plus API keys for AI tools. Map your sheet and calendar, choose a model like OpenAI, Anthropic, or Gemini, and enable only the channels you need. Many teams cut inbox triage from about 2 hours a day to under 15 minutes and speed replies to new leads. It fits lead capture, content intake, and order handoff from Gumroad without custom code.

What are the key features?

  • Multi source triggers for Gmail, Google Sheets, Calendly, Google Drive, IMAP email, forms, schedules, webhooks, and chat events.
  • AI enrichment with summarization, information extraction, sentiment analysis, and text classification.
  • Vector and chat memory options using Redis, PostgreSQL PGVector, Pinecone, or Supabase for smarter context.
  • Google Sheets append and lookups, Google Docs access, and Google Calendar actions for reliable record keeping.
  • Messaging and alerts with Gmail send, Pushbullet, and Respond to Webhook for fast notifications.
  • Media and content actions like creating YouTube playlists, downloading from Dropbox, and reading RSS feeds.
  • Link and file utilities including Bitly link shortening, Convert to File, Extract from File, HTML and Markdown.
  • Data control with Filter, Remove Duplicates, If, Merge, Sort, Loop Over Items, Wait, and Execute Workflow.

What are the benefits?

  • Reduce manual inbox triage from 2 hours to 15 minutes
  • Streamline lead routing by up to 80% with automatic tagging and Google Sheets logging
  • Improve data quality by removing duplicates and enforcing field maps
  • Connect Gmail, Calendly, Gumroad, and Google apps in one flow
  • Handle five times more inbound events with batching and loops
  • Speed follow up with instant emails and push notifications

How do you set it up?

  1. Import the template into n8n: Create a new workflow in n8n > Click the three dots menu > Select 'Import from File' > Choose the downloaded JSON file.
  2. You'll need accounts with Gmail, Google Sheets, Google Calendar, Google Docs, Google Drive, Calendly, Gumroad, Dropbox, YouTube, Reddit, Pushbullet, Bitly, OpenAI, Anthropic, Google Gemini, Pinecone, Supabase, PostgreSQL, Redis, SerpAPI, Wikipedia, Wolfram Alpha, ElevenLabs, Bluesky, Perplexity, FTP and Twitter. See the Tools Required section above for links to create accounts with these services.
  3. Open the n8n credentials manager. For each app node you plan to use, double click the node, choose 'Credential to connect with', click 'Create new credential', then follow the on screen steps. Use OAuth2 for Google services and API keys or tokens where required.
  4. For AI services like OpenAI, Anthropic, Gemini, Perplexity, ElevenLabs, Bitly, SerpAPI, Wolfram Alpha, and Pinecone, visit each provider’s API page to create an API key. Paste keys into new credentials in n8n and give them clear names.
  5. If using PostgreSQL or Redis for storage or memory, create credentials with host, port, database, username, and password. Test the connection from the credentials manager.
  6. Calendly and Gumroad triggers: open each trigger node and create the credential. Copy the webhook URL if shown and register it in the app if needed. Use the built in 'Test' button to confirm the webhook is active.
  7. Gmail and IMAP email triggers: choose the mailbox and polling interval. Send a test email to confirm events appear in the execution log.
  8. Google Sheets nodes: select your spreadsheet and the exact sheet name for append operations. Add a sample row using the manual test to verify column mapping.
  9. Choose your AI model: set the model in OpenAI Chat Model, Anthropic, or Google Gemini nodes. Run a sample through Summarization and Information Extractor to confirm outputs.
  10. Optional vector memory: configure Pinecone index or PGVector table and connect Embeddings nodes. Run a test store and a retrieval QA step to validate context recall.
  11. Configure notifications: set the Send Email node sender, and connect Pushbullet if you want phone alerts. Send a test message to verify delivery.
  12. Enable only the triggers you need. Turn off unused triggers to avoid noise. Save and activate the workflow.
  13. Validation: book a test Calendly event, complete a sample form, send a test email, and post a test Gumroad sale using sandbox where possible. Confirm rows in Google Sheets, calendar updates, and notifications.
  14. Troubleshooting: if no data arrives, check webhook status in the source app, verify credential scopes, ensure sheetName and documentId are selected, and review the execution log for node errors.
