Form data flows into n8n first. The email field is mapped to a clean value. A filter removes free email domains so only business emails pass through. Clearbit enriches the person by email and then looks up the company by domain. A decision checks if the lead is B2B and the company has more than 499 employees. If it matches, Gmail sends a personalized message using the contact’s first name from Clearbit. If it does not match, nothing is sent and the run ends.

You will need a Clearbit API key and a Gmail account connected in n8n Cloud. Adjust the filter list and the employee threshold to match your ideal customer profile. How do you set it up?

  1. Import the template into n8n: Create a new workflow in n8n > Click the three dots menu > Select 'Import from File' > Choose the downloaded JSON file.
  2. You will need accounts with Clearbit and Gmail. See the Tools Required section above for links to create accounts with these services.
  3. In the n8n credentials manager, open the Clearbit node, choose 'Credential to connect with', click 'Create new credential', then follow the on screen instructions. In your Clearbit dashboard, create an API key and paste it into n8n.
  4. In the n8n credentials manager, open the Gmail Send Email node, choose 'Credential to connect with', click 'Create new credential', then follow the on screen steps to sign in with your Google account and grant Gmail access.
  5. Open the n8n Form Trigger node, review the form fields and description, and copy the test URL for submissions.
  6. Open the Set node named Map email field and confirm the email path matches your form’s email field. Update it if you rename the form field.
  7. Open the Filter out personal emails node and review the list of domains or rules. Add any extra free email domains you want to block and test with a free email to confirm it is filtered.
  8. Open the Clearbit nodes and confirm the email and domain expressions are set as shown. Save your changes.
  9. Open the If B2B and > 499 employees node and adjust the employee threshold or B2B flag to match your ideal customer profile.
  10. Open the Gmail Send Email node and edit the subject and body. Keep the first name variable if you want a personal greeting.
  11. Click Test Workflow in n8n and submit the form with a business email. Check each node’s output to confirm enrichment and the email send step.
  12. Test a non qualified case by submitting a personal email or a small company domain. Confirm the run routes to the do nothing step and no email is sent.
  13. If you see Clearbit errors, verify the API key and that the email domain exists. If Gmail fails, reauthorize the Gmail credential and check sending limits. Activate the workflow when all tests pass.
