How to Automate Airtable to Blotato Publishing?

Publish content to many social networks from one place. The system reads a post from Airtable, uploads media to Blotato, and sends the post to Instagram, Facebook, LinkedIn, TikTok, YouTube, Threads, Twitter, Bluesky, and Pinterest. It fits teams that want consistent cross posting without copy pasting.

Start with a manual test run or use the built in form to look up a Pinterest board ID. The flow pulls record data from Airtable, trims long YouTube titles with OpenAI, and builds both short and long captions. It then uploads the image or video to Blotato and triggers platform specific publish calls, including Facebook page ID and TikTok settings. After posting, it writes status back to Airtable so you can track results. It also respects rate limits and platform rules like text length and YouTube quota messages.

You will need a Blotato API key, connected social accounts in Blotato, an Airtable base with post fields and page or board IDs, and an OpenAI key. How do you set it up?

  1. Import the template into n8n: Create a new workflow in n8n > Click the three dots menu > Select 'Import from File' > Choose the downloaded JSON file.
  2. You'll need accounts with Airtable, OpenAI and Blotato. See the Tools Required section above for links to create accounts with these services.
  3. In Blotato, connect each social account you will post to. Copy the Account IDs and the Facebook Page ID you plan to use. Keep them in a safe place.
  4. In the n8n credentials manager, create a new HTTP Header Auth credential for Blotato. Name it clearly, then paste your Blotato API key from the Blotato settings page.
  5. Create an Airtable Personal Access Token with read and write scopes. In n8n, add a new Airtable credential using that token and name it so your team can recognize it.
  6. Open the Airtable nodes and select your Base, Table, and View. Map fields for captions, media URL, Facebook page ID, and Pinterest board ID as used in your base.
  7. In n8n, add an OpenAI API Key credential and connect it to the Ensure Valid YouTube Title node so long titles are shortened automatically.
  8. Open the Prepare for Publish node and confirm field mappings for final_text_short, final_text_long, facebook_page_id, and any media fields used by your Airtable base.
  9. Use the Pinterest form trigger path named Pinterest System to paste a Pinterest board URL and return the board ID. Save that ID into your Airtable record.
  10. Run a manual test. Check the Upload Image to Blotato and Upload Video to Blotato nodes for asset IDs. If missing, verify file type and size.
  11. Verify publish calls succeeded by opening each Blotato publish node and reviewing response data. Look for platform errors about text limits or quotas.
  12. Confirm Airtable write back shows the status fields updated. If you see rate limit issues, space out runs or reduce concurrent posts.
  13. For Facebook and LinkedIn, keep captions as plain text. For YouTube, watch for quota messages and schedule runs when quota is available.
